It’s ‘GO’ Month (Get Organized)! Moreover, it’s a new year and a new decade. This is the perfect time to set the tone for a new phase. Remember, small changes over time lead to a huge cumulative positive change.

Let’s talk about your office & desk area, whether it’s a home office or a business office. Many of the same issues are the same for both areas. If you find that you have always struggled with getting or staying organized and managing your time, consider hiring a Certified Professional Organizer to help you identify and set up a sustainable customized system.

Why Organize Your Office & Desk Area?

1) Video calls – Skype, YouTube & video job interviews. What impressions are you creating?

2) Concentration on tasks is more difficult with clutter & lack of clear work surfaces

3) If you do not have good paper & time management systems in place, you may be penalized with the following:

Late fees

Lost job opportunities if you do not have a good follow up system

Get overwhelmed & procrastinate

Suffer the judgment by bosses (if a company is considering downsizing the organization – looking or being disorganized can be the kiss of death.

Suffer the judgment, comments & threats from family & friends.

Missed appointments – “Where Did I put that sticky note?”

Insightful fact: We waste 6 weeks a year looking for information and stuff in our offices. What else might you do with 6 weeks a year – every year?!

How To Start:

1) Purge old files (have 25% empty space in your drawers for future filing & storage)

Trash or archive

2) Have the right tools – if they don’t work well, you won’t use them

3) Set up new files for 2010

Annual files such as – Meeting notes, Taxes 2010, Bills Paid, medical EOB’s

4) Use your inbox as an in box vs. a dump box. Process your mail and paper documents.

5) Use your calendar to get rid of all those sticky note reminders of things to do. You don’t need to keep everything out as a visual reminder. Transfer’ to-do’s’ & follow-ups to your planner so it is scheduled to get done!

6) Helpful desktop files that I love:

To Discuss file

Upcoming Events

Bills to Pay

Pending

7) Make recycling & shredding easy – put the bins (or paper bags) under your desk so you can get them off your desk & floor immediately.

Mary Dykstra’s quick top 10 list for being organized for the holidays …..

1) The value of gift giving – the perfect fit in most cases? Gift cards & services. If you give items, ask what they want to maximize the value to the recipient vs. giving gifts that will end up in the donation box. I see & hear the horror stories from my clients all the time.

2) It helps to have an extra gift or 2 wrapped for the unexpected guest.

3) Holiday meals – ask for help in food prep & keep it simple – remember, the season is not about the stuff – it’s about the relationships.

4) Plan your holiday meals in advance so you can be prepared. Next, set up your pantry for success – purge old outdated foods, assess what ingredients and supplies you will need for holiday meals so you aren’t running to the store on Christmas Eve.

5) Plan for ‘lite’ snacks for hungry bodies when you will not be eating at the prescribed time – fresh fruit, raw veggie tray, crackers & cheese (keep sugar content low until dessert!)

6) Tell the chronically late guests an earlier start time so you can actually eat together.

7) If you are opening your home to small children, make sure it is safe for them to wander & make sure all chemicals and medicines are out of reach.

8) Don’t forget to plan a cleared space for coats & boots when your guests arrive! Work on that coat closet (great time to make a bag of donations for outdated things!)

9) Create some great memories this season – Pull out the boxes of photographs & childhood memorabilia – family sharing. It’s a great time to come around the table or tree and pull out all those pictures. Purge the fuzzy ones & create albums for members to take home with them. This creates (for most families) warm shared time and builds lasting memories.

10) Get your tax credit & help others: Donations for year end, New Year’s resolutions and tax relief – it’s a great time to purge & get a tax deduction (use Itsdeductible by TurboTax (the donation software is free to use).

How many times have you gotten something as a gift that had little meaning or value to you? Many of my clients struggle with what to do with some of the gifts they get from friends & family. They get gifts that don’t fit their needs, interests or lifestyles.  When this happens, value is lost between the money the giver spends and the value the receiver gets. In some cases they get negative or 0 value.    continue

I use LinkedIn and the following question was posted for comment. I thought it was interesting enough to blog on. Have a great day. Mary D

“Sometimes I need to take a cell phone call during a client meeting. Isn’t this OK if I announce in advance that I am expecting an important call?”  continue

I am always reading and learning so I can deliver exceptional value to my clients. That means I read on a variety of topics and follow national leaders. I came across an interesting communication question on the PR news blog from Diane Schwartz VP & Group Publisher Media/PR Group on communication, hiring and failures.  She posed an interesting question about methods of communication and being successful or failing – lessons learned.   continue

People have been abuzz about Twitter for a couple of years. Lately, though, businesses are using Twitter and Facebook to grow their businesses. I have steadfastly refused to ‘distract’ myself with having to maintain ‘one more thing’ or be interrupted by someone tweeting about their coffee break. After attending several sessions on the importance of utilizing social media to grow one’s business, I finally joined the ‘dark side’ because LinkedIn.com (professional’s networking site -excellent by the way) added the application. I am just adding my day 3  tweet. My stated intent as written in my FIRST tweet? “Looking to post one tip a day that positively impacts your office, home or life organization, time management and goals.”  continue

I just did an NPR radio interview and wanted to post the tips I shared. Happy Organizing your holidays & year end wrap-up!

Many of us are overwhelmed by our stuff, schedules & having to deal with change.

I help clients set decision making criteria in 3 areas:

What to let in

Where will it go (space & schedule)

How do you know when you are done with it (& what’s it’s exit strategy?)  continue
